Billing & Privacy Note — Spoolsight
Effective date: October 5, 2026
Last updated: 2026-10-07
This note covers billing and AI-processing details specific to Spoolsight's subscription and AI features. Our full Privacy Policy covers all the data we collect, who processes it, how long we keep it, and how to have it deleted.
1. Billing Data & Payment Processing
1.1 Payment Processor: Stripe
All subscription billing for Spoolsight™ Pro is processed by Stripe, Inc. (https://stripe.com).
Spoolsight does not store, process, or have access to your credit card information. Your card details are entered directly on Stripe's secure, PCI-compliant servers and never pass through or are stored on Spoolsight's infrastructure.
1.2 What Billing Data We Collect
When you subscribe to Pro, we collect and store the following information locally on Spoolsight:
- Your name and email address (already part of your account)
- Your Stripe customer ID (a unique identifier linking your account to Stripe)
- Your subscription status (Free, Pro, active, cancelled, past-due, comped)
- Your subscription period (monthly or annual)
- Your subscription period end date (when your current paid period expires)
- Brand and last 4 digits of your payment card (e.g., "Visa ****4242") — this is not a full card number
We do not store:
- Full card numbers (PAN)
- Card expiration dates
- Security codes (CVV)
- Billing address
- Payment transaction history
1.3 Invoice & Receipt Handling
Invoices and receipts are generated and stored by Stripe. You can view and download your invoices through the Stripe billing portal, accessible in your Spoolsight account settings under "Membership" → "Manage billing."
We store a reference to your invoices (their Stripe ID) but do not retain copies of invoice details on Spoolsight's servers.
2. Screenshot and Filament-Label Processing & AI
2.1 Third-Party AI Processing: Anthropic
The "Extract from screenshot" feature and the "Scan a filament label photo" feature send your uploaded images to Anthropic, Inc. (https://www.anthropic.com) for processing using Anthropic's AI. Both features are available on Free (up to 10 scans a month) and Pro (up to 250 a month); the two features share one pooled monthly allowance.
Filament-label photos are not saved to your account. They are uploaded temporarily, sent to Anthropic's API, and used only to read the label.
Slicer screenshots are saved with the print you create from them. When you save a print from a screenshot, the screenshot is stored with that print in private storage that only your account can view. It is included in your full backup export.
2.2 What Data Is Sent to Anthropic
When you use screenshot or label-photo extraction:
- The image itself (screenshot or filament-label photo) — transmitted to Anthropic's API for analysis
- What Spoolsight keeps — the parsed extraction results (e.g., "Brand: Bambu Lab, Material: PLA, Weight: 500g" for a label scan, or "Filament weight: 20.5g" for a screenshot), the token usage from the AI provider's response, and, for a screenshot you save as a print, the screenshot itself
2.3 Anthropic's Use of Your Data
By using the screenshot extraction or filament-label scanning features, you acknowledge that:
- Your screenshot images and filament-label photos are transmitted to Anthropic's servers for processing
- Anthropic handles that data under its own terms and Anthropic's Privacy Policy
- You agree to Anthropic's Terms of Service (https://www.anthropic.com/legal/terms-of-service)
You should review Anthropic's privacy practices before using these extraction features.
2.4 AI Extraction Usage & Cost Tracking
For each screenshot extraction or filament-label scan, Spoolsight logs:
- The date and time of the extraction
- The number of input and output tokens used by the AI provider
- An estimated USD cost (derived from the AI provider's published token pricing)
Both screenshot and label-scan extractions share the same monthly usage cap and combined ledger. This data is stored locally to enforce monthly usage caps and give the operator cost visibility. You see your scan count; estimated costs are visible only to the operator. It is not shared with Anthropic or any third party except as required by law.
2A. Beta Tester Feedback
Beta tester feedback. If you are a beta tester, you can send us feedback from inside the app. We store your message, the category you choose, the page of the app you sent it from (the page address only, without any search terms), and the date and time. While your account exists, your feedback is linked to your account so we can follow up with you. If you delete your account, we keep your feedback messages but remove the link to your account: your name, email address, and account ID are no longer stored with them. Because a message contains whatever you wrote, please do not include personal information (such as phone numbers, addresses, or payment details) or anyone else's information in feedback. To have a specific feedback message deleted, contact us at hello@spoolsight.com and we will delete it from our live systems within 30 days; copies in backups are overwritten as backups rotate (within 30 days).
3. Monthly Usage Cap & Cost Monitoring
3.1 Usage Logging
Every screenshot or label-photo extraction, on either plan, records a usage entry containing:
- Your user ID
- Timestamp
- Input and output tokens (from the AI provider's response)
- Estimated cost in USD (tokens × configured per-token rate)
3.2 Owner Visibility
The operator of Spoolsight can view aggregated, per-user monthly extraction counts and estimated costs through a private admin dashboard. This information is owner-only and is not shared externally.
4. Data Security & Encryption
- In transit: All communication between your browser and Spoolsight uses HTTPS (TLS encryption)
- At rest: Billing-related data is stored on servers hosted by DigitalOcean and managed through Laravel Forge, with daily off-server backups kept for 30 days
- Access control: Only the operator and essential support staff have access to billing/usage data
5. Data Retention & Deletion
5.1 Account Deletion
If you delete your account, the following occurs:
- Your active subscription, if any, is cancelled immediately at Stripe, with no refund for the rest of the paid period. If the cancellation cannot be completed, your account is not deleted and you can try again
- Your account, password, and profile information are removed
- All your spools, prints, and filament data are permanently deleted
- Your usage/extraction logs are deleted at the same time
- Copies in backups age out within 30 days
5.1a Exporting Your Data
Before deleting your account (or at any time), you can download a copy of your own inventory data from Settings → Data: a spreadsheet-friendly CSV bundle, or a complete backup you can later restore into a new, empty account. This export never includes billing, security, or other-account data. See your account settings for details.
5.2 Archived Billing Data
Invoice and payment records are held by Stripe, not Spoolsight. Deleting your account does not delete your customer record at Stripe, so Stripe keeps the invoice, payment and tax records it is legally required to keep, under Stripe's own retention policy.
6. Compliance & Jurisdiction

Revision History:
| Date | Change |
|---|---|
| 2026-06-16 | Initial draft for run-12 deployment |
| 2026-10-04 | Added §2A "Beta Tester Feedback" (run 21a, AC-15.10 / security finding F-5): discloses that feedback text, category, and page context are collected, that feedback is retained (anonymized, with the account link removed) after account deletion, and that testers should not include personal data in feedback |
| 2026-10-05 | Added §5.1a "Exporting Your Data" (run 23, OI-62): discloses that users can export their own inventory data (CSV bundle or a restorable full backup) from Settings → Data, and that the export carries no billing, security, or other-account data |
| 2026-10-05 | Prepared for publication (run 24): links to the new Privacy Policy; corrected §2.1/§2.2 — slicer screenshots saved with a print are stored (label photos are not); account deletion cancels an active subscription immediately with no refund and deletes usage logs at the same time (§5.1); Stripe keeps its own invoice/tax records (§5.2); hosting named (DigitalOcean via Laravel Forge) and backup retention set to 30 days; operator, contact details, effective date and Tennessee jurisdiction filled in (§6, §8); removed the statement about Anthropic using aggregated data to improve its models (§2.3) |
| 2026-10-07 | §2.1, §3.1, closing line (run 30): corrected — screenshot and label-photo extraction are available on Free (10 scans a month) and Pro (250 a month), not Pro only; both plans send images to the same Anthropic processing; §2.4 also corrected so that only the operator has cost visibility (users see their scan count, not estimated costs) |
By using Spoolsight's AI features or a Pro subscription, you acknowledge that you have read and understand this Billing & Privacy Note.
